How we work
Our services are entirely flexible, to suit your needs. This means we do not have a one size fits all approach but rather provide advice and services that reflect your ethos, your appetite to risk, your priorities, and your policies.
Our support ranges from advising on day-to-day HR queries to updating policies and contracts, drafting letters, meeting plans, or undertaking projects such as developing appraisal schemes, salary benchmarking, re-organisations, HR strategy or, drafting the HR aspects of the business plan. Clients either call us on an as-and-when basis or integrate us into their organisation as their HR department.
Many clients value the flexibility we offer. We frequently meet clients in their offices either on a regular or occasional basis. Meetings at a client’s premises are usually to support managers in meetings with staff, to deliver training or a briefing, or for planning meetings. Once relationships have been established on-going support can be provided over the telephone and email.
These terms of business govern all the services that we provide including consultancy services, projects and retainers.
Consultancy Services
You have expressed an interest in engaging Hive HR Solutions Ltd and we charge £120 per hour for our expert HR support (unless you have purchased a block of 10 hours at £114 per hour). Work is charged in 15-minute increments.
£150 per hour for our Leadership, culture and people development specialist support and training Our day rate is £720 plus VAT and half day will be £360 plus VAT.
Our day is 6 hours, and half day is 3 hours.
Our HR Director Consultancy is charged at £1,200 per day or £600 for half a day.
VAT is added to all invoices.
If you purchase a block of 10 hours these hours need to be used within a 12-month period.
We offer a recruitment administration service, for roles under £30k our fees are £80 per hour and for roles above £30k our fees are £120 per hour. We do not guarantee to fill your vacancy instead this service is about saving you time.
If you subscribe to Breathe, you will be invoiced monthly or annually by Hive HR Solutions. If you wish to cancel your Breathe subscription at any time you will need to notify us, and we will cancel your subscription.
We send invoices for our consultancy services at the end of each month, covering the work we’ve already done.
If we have quoted you for a project and this exceeds £500, there will be a payment plan detailed in the project agreement, the initial invoice needs to be paid before work can commence. For project work which is under £500 we will invoice you at the end of the project.
Our retainer clients are invoiced on a monthly basis as set out in the retainer agreement.
We also offer a retained service and if your usage increases for any reason, you are free to move to a retainer.
We offer a 10% discount to all registered charities on our operational and strategic services, with the exception of our block of hours and recruitment support.
If you use our DocuSign services, you will be charged £2.50 for each document sent on your behalf
Invoicing and payment
All work completed will be detailed on our invoice. This will be sent to you directly by email to maintain confidentiality. Our payment terms are 14 days.
Once you have signed this document, you will be sent a link to Go Cardless to set up automated payment. Please note work cannot begin until you have completed the Go Cardless link.

Any travelling costs outside of Horsham/Brighton/Guildford/Worthing will be charged to you at 45 pence per mile. Travel time is charged at the hourly rate.
We understand there will be circumstances when invoices are late, and therefore whilst our payment terms are 14 days, we apply discretion up to 35 days, when invoices are more than 35 days late, we reserve the right to add 5% interest to our invoice(s). You will be notified of this interest being added. We also reserve the right to stop providing services to you if our invoices are overdue more than 35 days.
Quality assurance
We look beyond the narrow HR focus to understand your ambitions, attitude to risk, your values and culture. We then work towards ensuring that HR support is consistent with these. Our own values are focused on delivering excellent customer service and we do this in a number of ways
Length of contract
There is no minimum contract period required for our consultancy services. The length of contract for our projects and retainers will be detailed in the agreements that sit under these Terms of Business
Notice period
With the exception of our retainer agreements, we will not enforce a notice period, if you decided the service is not for you, but in this unlikely event, We would ask that you provide as much notice as possible and naturally any deficit would need to be paid off immediately if you decided that you no longer wanted to continue. Although again unlikely, if we decided to withdraw from the service, we would give you a notice period of one month, or 60 days for our retainer clients, to end the agreement.
Cancellation terms
We understand events happen that mean you sometimes need to cancel training, if a training event has been arranged with you either face to face or online and you cancel giving us less than 48 hours’ notice you will be charged a cancellation fee of £120 plus VAT plus any mileage and training time to and from the venue where applicable.
If project timescales are agreed and then events happen that means the project cannot be either started or completed, charges will apply. If a project has been started but is unable to be completed due to your business circumstances, 50% of the project cost will be due. If a project has not been started and is then cancelled, a fixed fee of £150 may apply.
We understand there may be situations where you may not be able to attend scheduled meetings with us either in person or online. We ask for 48 hours’ notice if you are unable to attend a scheduled meeting with us, where you do not provide us with 48 hours’ notice we reserve the right to charge you the full cost of us attending this meeting.
Confidentiality and data protection
We undertake to comply with the Data Protection Act 2018 and any additional amendments and will use personal data received from you solely for the purpose of providing our service. All confidential information which passes between yourselves and us will be held in complete confidence in accordance with our privacy policy, which can be found https://www.hivehrsolutions.co.uk/policies/privacy-policy, and will not be disclosed to any other party without your written consent. In accordance with the Data Protection Act, in the event that we become aware of any breaches of the Act, we will notify you as soon as practicable.
Liability
It’s important to us that we’re upfront about we are responsible for in the unlikely event of anything going wrong.
We’re responsible for what the law says we must be – that doesn’t change. Beyond that, if something goes wrong with the services we provide, our liability is limited to direct losses only and capped at the total invoiced amount for the three months before the issue happened.
If a third party makes a claim against us because of something you’ve done (or not done) in connection with our work together, you agree to cover any costs or losses we face as a result. We’re also not responsible for any claims made against you by a third party that arise from how you choose to use our services, advice, or any materials we provide.
Copyright
Permission is granted to reproduce policies, procedures, forms or any other documentation that we provide exclusively for your own internal use only. Copying, hiring or lending to any other organisation or individual, whether for financial gain or not is prohibited. These rights and restrictions apply both during and after the supply of any of our services.
Publicity
We may like to reference our work together in our marketing – for example, in case studies, social media posts, or on our website. Of course, we’ll always check with you first and won’t publish anything without your written approval, which we’d expect not to be unreasonably withheld.
Review
This agreement and our terms will be reviewed annually and may be subject to change. While we aim to initiate these discussions with our retainer clients a couple of months before their annual review, all clients will receive a minimum of one month’s notice before any changes take effect.
Governing Law
These Terms of Business shall be governed by the laws of England and Wales. These Terms of Business and any associated project or retainer agreements are the entire set of agreements between us.
